OBD for a small fleet: what to log and what to act on
Five vans and no workshop. The value is not in reading codes after a breakdown — it is in the trends that let you schedule work instead of reacting to it.
Running a handful of vehicles commercially changes what diagnostics is for. A private owner reacts to a warning lamp. A fleet operator wants to know which vehicle will fail next month, so the work can be scheduled rather than suffered.

The economics
A breakdown costs more than a repair. It costs the repair, plus recovery, plus a vehicle out of service, plus a missed job, plus whatever that does to a customer relationship.
Anything that converts an unplanned failure into a planned one pays for itself quickly, and most of the signals are readable with a cheap adapter.
What to record on every vehicle
A monthly scan, five minutes per vehicle, recorded in a spreadsheet.

Pending codes are the fleet operator’s best friend. They are faults that have happened once and not yet lit a lamp: Mode 07 pending codes.
The diesel-specific discipline
Most small commercial fleets are diesel, and most small commercial fleets do urban work — which is the worst combination for after-treatment.
Soot load and distance since regeneration, monthly, per vehicle. That one habit prevents the most common expensive failure in the segment.

Consider scheduling a longer run deliberately. A monthly motorway journey per vehicle is cheaper than a filter.
Battery: the unglamorous winner
Across most fleets, battery-related failures outnumber every other roadside cause.
Vans are the worst case: short journeys, doors opened constantly, interior lights, tail lifts, tracking devices and radios all drawing from a battery that rarely gets a long charge.
Record resting voltage monthly and replace on a schedule rather than after a failure.
Parasitic battery drain diagnostics, alternator charging diagnostics and battery terminals corrosion.
Driver-reported faults, verified
Drivers report symptoms in ordinary language: “it feels flat”, “it made a noise”, “a light came on and went off”.
A scan turns that into something actionable. A light that came on and went off leaves a stored code, and reading it is the difference between a diagnosis and a shrug.

The driving-style angle
Logged data reveals how vehicles are actually used: sustained high load, heavy braking, engines left idling for long periods.
That is legitimate operational information. It is also personal data about identifiable drivers, and it carries obligations — be transparent about what is recorded and why.

Practical setup for a small fleet
- One adapter per vehicle, left in the glovebox, not plugged in permanently — adapters left in place flatten batteries: OBD adapter draining battery.
- A monthly scan routine, five minutes each.
- A shared spreadsheet — the trend is the value, not the single reading.
- Thresholds that trigger action rather than discretion.

When buying used for a fleet
The same checks, applied before purchase rather than after:
- Readiness monitors and permanent codes, to detect a recent clear.
- Soot and ash load on diesels — ash tells you the filter’s remaining life.
- Battery condition.
- Fuel trims, which reveal developing mixture problems.
